Administrative Assistant to the Superintendent
ADMINISTRATIVE ASSISTANT TO THE SUPERINTENDENT OF SCHOOLS
JOB GOAL:
Perform operational and administrative duties in support of the Superintendent and School Committee. Handle a variety of tasks; make decisions which require the use of independent and sound judgment. Provide a wide variety of complex and confidential administrative support to the Superintendent and School Committee; communicate information on behalf of the Superintendent to school and district staff, other districts, and public agencies. Ensure compliance of financial, legal and administrative requirements. Coordinate human resources activities for certified and non certified staff.

JOB DESCRIPTION:
1. Assist in general operations for the purpose of providing assistance with administrative functions and support the Superintendent in the day-to-day operations of the school system.
2. Coordinate agendas and attend School Committee Meetings and other meetings and record proceedings for official records, as assigned by the Superintendent.
3. Coordinate and maintain calendar of meetings and schedules for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities.
4. Prepare records and reports; compose correspondence; maintain correspondence records and files.
5. Supervise the flow of communication for the office, telephone calls, answer inquires, and process, retrieve and respond to emails.
6. Maintain contacts with community and government officials and offices.
7. Be knowledgeable of School Committee Meeting procedures and records; serve as the recording secretary.
8. Ensure compliance with School Committee rules and applicable State and Federal laws and regulations.
9. Organize personnel forms and job descriptions for certified and non-certified staff that meet State and Federal regulatory compliance.
10. Coordinate uniform hiring criteria protocol, screening protocol, background check processes and maintenance of application materials in conjunction with the Superintendent, Assistant Superintendent, Business Manager and Facilities Director.
11. Prepare and post vacancies and job openings using on-line teacher recruitment system.
12. Oversee and maintain records of certified and non-certified employees including highly quailed certification requirements.
13. Ensure that the rules concerning confidentiality are maintained.
14. Maintain seniority lists for certified and non-certified staff.
15. Maintain personnel records including evaluations/observation and certifications of certified and non-certified staff.
16. Manage correspondence and communication.
17. Confirm student information in the Student Information System.
18. Assist the Superintendent and other administrators with record keeping in the administrative tasks of supervision, evaluation, probation and termination of staff.
19. Assist with State/Federal required reports.
20. Make decisions and performs all tasks in accordance with the Middletown Public Schools’ organizational mission, vision and beliefs.
21. Perform tasks or services consistent with the job goal of the position.
22. Assume other duties as may be assigned by the Superintendent.
WORK YEAR: 261 days
SALARY RANGE:
1st Reading – June 16, 2011
2nd Reading and Approval – July 21, 2011
